2024 Nominations for the Executive Band Boosters Board
The Hays Band Boosters organization is dedicated to support the students, directors, and the mission of the band programs as they strive towards the highest level of curricular and artistic goals in music education and performance.
Each year our amazing Band and Guard Booster Board helps promote and serve the Band and Guard Program along with the help of all our incredible volunteers, parents, and Booster Members. This year has been no exception, and we're looking for some more dedicated, service-oriented band and guard parents to continue this successful tradition! The only requirements to be eligible for a board position are a willingness to serve our incredible students and directors, and any ideas you think will help the program!
Elections for the 2024-2025 Booster Board are now open! We will be accepting nominations until May 6, 2024, and the voting for the new board will take place at our final 2024 Booster meeting on May 7.

These duties are high level descriptions and more/other duties may need to be added as needed. The secret to a great Board is the ability to work together as a TEAM and the willingness to help out where needed for the betterment of the program and the success of the children.

Duties of the President shall be as follows:
- To preside at all meetings of the HBB and all meetings of the Executive Committee.
- To appoint members to all committees
- To institute meetings of the Executive Committee as deemed necessary
- To be an ex-officio member of all committees except the Nominating Committee.
- To co-sign checks with the Treasurer, Vice President, or Secretary if the Treasurer is unable to sign as primary signatory.
- To collaborate with the Treasurer on deposits and custody of all funds belonging to the HBB.
- Other duties as mutually agreed.
Duties of the Vice-President(s) shall be as follows:
- To attend all meetings of the HBB or preside at any HBB or Executive Committee meeting in the absence of the President.
- To be responsible for obtaining assistance in, and coordinating efforts for, local fund raising activities of Hays High School.
- To co-sign checks with the President, Treasurer, or Secretary acting as cosigner.
- Other duties as mutually agreed.
Duties of the Secretary shall be as follows:
- To attend all meetings of the HBB and all meetings of the Executive Committee.
- To record the minutes of all meetings of the HBB, and all minutes of the Executive Committee meetings.
- To keep membership records.
- To co-sign checks and perform other duties as necessary (correspondence needs, etc).
- To ensure the posting to the website the draft minutes of the previous meeting and provide notification to all voting members, who have provided a current and correct email address, one week prior to the next general meeting.
- Other duties as mutually agreed
Duties of the Treasurer shall be as follows:
- To attend all meetings of the HBB and all meetings of the Executive Committee
- To create, with collaboration from the Executive Board, each annual budget. The budget for the next school year shall be presented to the general membership for adoption by the voting members at the last HBB meeting of each school year
- To collaborate with the President on deposits and custody of all funds belonging to the HBB
- To keep a full and accurate account of the receipts and expenditures of the HBB.
- To make disbursements as authorized.
- To present monthly financial statements to the Executive Committee at the Executive Board Meetings.
- To present a financial statement at each meeting of the HBB and at other times when requested. To sign all checks with the President, Vice President or Secretary acting as cosigner.
- Maintain up to date bank signature cards listing current officers authorized to sign on the accounts and removing officers no longer serving the organization.
- To submit accounts annually for audit by a committee of three (3), to be appointed by the President. The committee will make a written report of its findings and submit them to the Executive Committee. Audits will be submitted one month prior to filing for taxes.
- Complete financial information to submit to the Accountant for taxes and file the tax return each year by the due date.
- Review Tax return with President prior to filing
- Make a copy of the tax return and forward to the Director of Bands after filing.
- Other duties as mutually agreed.
Duties of the VP Events shall be as follows
- Focus on the large fundraising events run by the boosters
- Oversee each committee that run specific events and any additional events chosen by the board.
- Other duties as mutually agreed.
Duties of the VP Marketing shall be as follows
- Focus on marketing and fundraising opportunities by vetting opportunities presented and taking it to the officer board and/or general booster membership when necessary for approval or vote.
- Oversee the efforts to gather ideas and opportunities for booster fundraising.
- Schedules vendors for events and Spirit Nights throughout the school year.
- Other duties as mutually agreed.
Duties of the VP Guard shall be as follows
- Have a student in the Hays Guard program.
- Act as a Liaison for band & guard to ensure that both are always working together as a team.
- Be the voice for our guard and keep the board informed on guard events and special requests.
- Other duties as mutually agreed.
